Intake forms

With the Intake forms feature you can request further information from your clients upon booking using custom fields. Answers can be provided in various formats such as text lines, drop-down menus, radio buttons etc. This is helpful when you need more information about your client in order to prepare for the meeting.

Service categories

With the help of this custom feature you can create categories and group your services to make it easier and faster for your clients to find the necessary service.


Monitor your business like a pro! With this custom feature you will get a variety of charts with key performance indicators in your insights dashboard.

Html description field for events

Allows inserting HTML formatting (background and font color, bold, italic, underline, alignment and other html elements) for Service, Service Providers, Locations and Categories description fields.

Google adwords and analytics

Insert your Google Analytics/Google Adword tracking ID into our Google Analytics custom feature settings and track how many visitors come to your site, how much time they spend on your site, how many book an appointment and so on. This is a great way to stay on top of your marketing efforts!

Facebook client info

The Facebook custom feature simplifies the booking process by enabling your customers to login in and make appointments with their Facebook profile. You can thereby also see their Facebook profile photo in the dashboard, allowing you to recognise them when they walk through the door. Please note, that services may be visible on his/her timeline.

Terms and conditions

If you want your clients to accept your terms and conditions before booking, then this custom feature is a MUST. Use it to create and manage the booking Terms & Conditions for your business.

Custom CSS

With the Custom CSS custom feature you can customize the look of your booking website and widget interface. You can remove elements, change colors, adjust styles, fonts, etc. Please note that this is suitable for technically advanced users and is not recommended if you are not familiar with CSS.

Group bookings

Group bookings are useful when you need your customers to be able to book appointments for many individuals at the same time. This custom feature creates a drop-down menu with the number of participants in the group. You can use this custom feature with the payment custom feature enabling the total payment for all participants to be paid at check-out, even though the booking is managed by one individual.

Accept Payments

The Accept Payments custom feature allows you to accept payments from your clients online. You define the price of your service and your clients pay as they book their appointment.

Multiple Locations

Enables you to create multiple service locations at different addresses, and connect them with different service providers (staff members).

Photo Gallery

Use this custom feature to upload images to your main booking website at You can upload images of your business, services or whatever describes your business better. They will be displayed differently in the different themes.


If you have a company with many providers and a service desk accepting clients, you can add the ‘Status custom feature’ to events enabling you to mark the status of a booking. For example, marking a booking with 'Client has arrived', and then 'Client has left and paid'. You can customise the status texts to your needs. This is a great way to keep on top of the workflow in your business.

Calendar sync

The ‘Calendar Sync’ custom feature allows for 2-way synchronization with your personal Google or Outlook calendar. You can export bookings from the online booking system back into your personal calendar and also block times occupied by your personal calendar events back into your online booking system.

Book Soon notification system

Remind your clients to come again! This custom feature will remind your clients to come back by sending them a message a predefined number of days after their last appointment. The message is fully customizable, as is the number of days.

Multiple bookings

Allows clients to book more than one service before they checkout and pay for all bookings with one payment. This custom feature adds 'Add more Bookings' button to the 'Details' tab of the booking page.

Any Employee selector

With the ‘Any Employee Selector’ the system allocates your client to the next available service provider for that service, rather than a specific one. You can also use this feature to hide all providers in which case the client only chooses a service, date and time, but no service provider.

Contact widget

Enable this custom feature if you need to add either a "Book" or "Contact" widget to your own website. With this custom feature, your clients will be able to book directly from your own website or send you a contact request with details.

Limit bookings

This custom feature allows you to restrict booking quantity which can be booked at the same time. It is possible to limit booking number at the same time generally, and also you can set certain limit for each service separately (for example you may want to use this limitation if some of your services require additional things like dental chair or room in the studio etc.) When the booking limit is reached the corresponding time interval will look like breaktime on the booking pages (and in the admin interface if you haven't set to skip this restrictions for admin).

Patient data protection (HIPAA)

The personal information custom feature is designed to help users to protect their clients’ and patients’ data and is particularly relevant for healthcare professionals. It does not replace user's own security procedures but enhances data security by using double authentication during login process for all users who access the system (users need to register their mobile phone number to receive an authentication code via SMS). The custom feature includes a “Timeout” setting which automatically logs the user out to reduce the risk of unauthorized users accessing the system. The system blocks all access for SimplyBook support personnel further reducing access by unrelated people to the system. It is possible to further reduce exposure of personal information to unauthorized people by using the ‘Delete History’ custom feature, deleting any data up to that point in time, making it inaccessible. PLEASE NOTE: This custom feature does NOT replace the user's own security controls, which also need to be in place for client and patient data protection. Please refer to relevant documentation in your country and get assistance from qualified advisors in the field of client/patient data protection.

Cancellation Policy

You can restrict the time within which clients can cancel appointments. Simply set the number of hours before the appointment when cancellation is possible or prohibit cancellations completely.

Flexible Notifications

The Flexible Notifications custom feature allows you to customize your messages per service, per service provider (member of staff) or using a combination of services and providers. Designated services can have different messages from the general outgoing reminder message. A certain service provider may also want to include different instructions for clients who book a certain service. The Flexible Notifications custom feature gives you all the flexibility that you may need in such instances!


Use this custom feature to make your booking website look and work differently. You also need to activate this custom feature for Zapier functionality. This custom feature can greatly enhance your ability to personalize the booking solution according to your needs.

Provider's color coding

Some users like to simplify the dashboard view by having providers highlighted with certain colors. With this custom feature, you can give each of your providers their own color so when you quickly glance over the dashboard, you can easily see what bookings belong to which provider.

Clean history

Use this custom feature to clear all previous bookings from the system. You can define when the bookings should be deleted (e.g. 1 week or 1 month after the appointment) and then the custom feature automatically deletes it according to those settings. Please note that deleted bookings cannot be restored by you or us - any deletion is final!

Take me back home

The 'Take Me Back Home' custom feature, allows you to bring clients back to your home page or selected URL after the booking has been completed on the booking page. Clients can click a link or be automatically brought back to your homepage with a website redirect.

Approve booking

The ‘Approve Booking’ custom feature allows you to check information for a client requesting an appointment, and approve or reject a booking before it set in the calendar. Your booking requests and approved bookings can be monitored in your dashboard and are color coded for your convenience. PLEASE NOTE: The ‘Approve Booking’ does not work with Accept payments.

Daily report

Every morning this custom feature will send you an updated status of all bookings for the day. You will also receive a list with your active bookings for the upcoming week.

Visitor counter

The Visitor Counter custom feature gives you up-to-date information about visits to your booking website or to the webpage on which you have put your booking widget. This custom feature shows you the number of visits and bookings, and thereby how your business is doing. The information will be visible in your dashboard.

Appointment at fixed time

This custom feature allows advanced flexibility to your appointment start times. You can also define different time start for each separate service. The custom feature can be used to define the exact hour and/or minutes in an hour where your services are available (e.g. 10.00, 14.30, 16.25). It can be used to set the start hour and then choose fixed or multiple intervals in minutes when your services are available (e.g. multiple of 15 min 10:00, 10:15, 10:30, 10:45).

Membership Feature

The Membership Custom Feature enables you to sell membership subscriptions and restrict bookings of services of your choice to members only. This feature also enables you to charge your clients on a recurring basis as long as your payment processor offers recurring payment collection.
SOAP Custom Feature


SOAP custom feature allows user to insert time stamped text record within 4 text fields that remains attached to a specific client. SOAP notes are a style of documentation that medical professionals, such as nurses, therapists, athletic trainers, counsellors, and doctors, use to record information about patients. The acronym stands for subjective, objective, assessment and plan and helps you to keep track of your customers progress throughout the lifespan of your service.
